Q-How do I know which ‘pop-ups’ to click on?

A-With the variety of different pop-ups that show up on our computers from time to time, it can be very confusing, and at times even hazardous to our computer’s health to click on each and every pop-up that comes along. However, totally ignoring them can also leave our computer with a ‘compromised immune system.’ I have always been told the best way to identify counterfeit currency is to know the real thing very well. Identifying pop-ups is very much the same thing. First, in reading the information on the pop-up, does it look and sound familiar, is it a program you KNOW is on your machine. If so, it is likely safe and perhaps beneficial. Programs that should sound familiar might include: Microsoft Windows Update Adobe Acrobat Adobe Flash, JAVA updates, Printer Updates and Anti-Virus Updates Personally, I prefer doing the updates myself using a program called ‘PatchMyPC’ found at: http://patchmypc.net/ It is important to note the ‘bad guys’ will often disguise themselves as the ‘good guys’ above; therefore it is important to read carefully. Look for misspellings or phrases that just don’t sound right, these are almost certain signs that the pop-up is dangerous and should be closed and an immediate virus scan done. Windows Vista and 7 have ‘pop-ups’ which occur when something is trying to make important changes to your system. Often the screen will go dark and only the ‘pop-up’ will appear light, to draw attention to it. It is important at this point to decide if you, in some way, told the computer to make such a change. If so, approve the change. If not, don’t approve the change and immediately run your anti-virus software. One additional help, with the advent of cameras on phones, it is very easy to take a picture of the screen with the pop-up and share it with someone more knowledgeable and get their opinion.

Q-My computer has contracted ANOTHER virus. Is there some way to stop this problem?

A-Last month I addressed some of the how’s and why’s of malware/viruses. This month I want to address what we can do to avoid them. Just like visiting the big city, or a friend in the hospital, it is beneficial to always be aware of where you are and what you are exposed to when surfing the internet (or even connected to it). While all devices are vulnerable to varying degrees and safe practices apply to all, I will specifically address Windows systems. First, you should have a reputable anti-virus/malware/spyware and firewall program installed and running. Microsoft now offers Security Essentials free for personal and small business use. I would consider this the most basic of programs and there are several other better choices available, some of which are free for personal use. Second, I would highly recommend using a reputation indicator in your browser, such as ‘Web of Trust’ (www.mywot.com). Socially based, this add-on will provide a reasonable indication as to whether a website is deemed ‘safe’ by other users. McAfee and Comodo security software also provides this as an option. Third, I would also highly recommend avoiding the use of Microsoft Internet Explorer (as it is installed on every Windows PC and therefore high profile target) and using an alternate browser. Examples of other browsers included 'Chrome' and 'Firefox' both of which offer very useful add-ons for secure browsing. I highly recommend disabling JAVA and Flash for use only on an ‘as needed basis’ with add-ons ‘NoScript’ and ‘FlashBlock,’ though this may be challenging for some users. Q-I’m frustrated with my current phone system, what kind of things should I be looking for in a system for my business?

A-Each small business has unique needs in regards to their phone system. How you communicate with your clientele is one of the most important aspects of having a successful business. You should examine your needs in regard to the phone system itself, voice messaging requirements, and ask if you would benefit from industry specific software. The Phone System It is important to consider several factors of your environment and make sure the system you purchase will accomplish your goals. For example: * Number of physical phone locations? * Number of phone lines used? * Will you need wireless phones? * Do you require Caller ID on your phones? * Will you need to connect calls to your office directly to personnel in the field via cell phone? * Do you need to integrate a branch office into the same phone system? * Do you need the ability to access your calls via computer? * Is a conference call phone needed? * Do you have limited access doors that would benefit from a door-phone? * Does your system need to accommodate background music or paging? Voice Messaging Voice messaging can be very simple, like an answering machine, or multifaceted with a mail box for each user. You will need to know * Number of users? * How much recording time is needed? * How many calls need to be recorded at concurrently? Voice messaging services have become very sophisticated and can include: surveys, taking orders, emailing voice messages and more. Industry Specific Software Some industries benefit from phone systems with specialized software. Such industries include: hotel/motel, call centers, and others. Industry specific software can enhance your services to your client and make your staff more efficient.
